Events and Office Coordinator

As Events and Office Coordinator, you pull the strings: You develop new formats, think ahead of processes and turn ideas into visible, smoothly implemented events. From citizen dialogue to reading, you manage planning, budget, logistics and guest services while confidently keeping all details together. At the same time, you bring structure to the office, simplify processes and ensure, both digitally and locally, that the team can work efficiently and well organized.

We are looking for you:

Events and Office Coordinator (m/f/d)

at the Munich location

These are your tasks:

  • You are actively involved in the strategic and conceptual development of ISI and develop new formats, processes and ideas on their own initiative.
  • You identify optimization potential in processes and structures and implement improvements independently.

Event management:

  • You provide operational event management for high-profile event formats, including popular science events, citizens' dialogues, readings and panel discussions.
  • You are responsible for the organizational planning and implementation of these formats — from scheduling and room coordination to budget monitoring and service provider coordination to on-site support for those involved.
  • You ensure structured processes, reliable schedules and a smooth course of events.
  • You coordinate external partners, technology, catering and logistics while keeping an eye on all organizational details.
  • You ensure that our events are professionally prepared, reliably implemented and carefully followed up.

Office Management:

  • You structure and simplify administrative processes (e.g. invoices, contracts, documents) so that everyone can work efficiently.
  • You design our work environment — locally and digitally — in such a way that everyone feels well organized and supported.
  • You take responsibility for basic IT processes (e.g. creation of email identifiers, basic troubleshooting, ordering and inventory of equipment) and ensure that the team is able to work smoothly.
  • You help supervise research projects and support their organizational and administrative implementation.
  • You provide professional support to national and international guests and fellows — from preparation to follow-up.

The area of responsibility may change and expand. The willingness to familiarise oneself with other fields of work within the framework of existing professional qualifications is therefore expected.

That's who you are:

We are looking for a committed person who knows how to work precisely, in a structured and independent manner, enjoys working with students and scientists and has the following profile:

  • You have successfully completed a university degree, preferably in the humanities, cultural, social or economic sciences, or a comparable qualification.
  • You have excellent computer skills (in particular MS Office including MS Excel) and the willingness to familiarise yourself with LMU's specific IT programs.
  • You are prepared to take over the supervision of events, occasionally in the evening or on weekends.
  • You are characterized by excellent expressive skills and a sense of spoken and written style in German and English. Experience in the press and communications sector is an advantage, as are other languages.
  • You have a good sense of detail, paired with pragmatism and a structured, independent and solution-oriented way of working.
  • You have initiative and the ability to work analytically, conceptually and autonomously.
  • Creativity, service orientation, professional, friendly appearance and enjoyment of a networked and international environment as well as excellent communication and team skills complete your profile.

The classification is based on TV-L, either E12 or E13, depending on the type of transaction. The position can be held either part-time (at least 50%) or full time. In your cover letter, state how many hours you would like to work per week. Payment is made in accordance with Collective Agreement of the Länder (TV-L). The position is initially limited to two years with the possibility of an extension (for the first time until 31.12.2029).

Your workplace is centrally located in Munich and is very easy to reach by public transport.
